OneDrive Storage Allocation Changes

On August 1, 2023, Microsoft introduced changes to cloud storage across the Microsoft 365 for Education suite. Included in this announcement were several changes to how Microsoft would allocate and configure storage. Beginning August 1, 2024, all Microsoft 365 for Education suites will receive 100TB of free pooled storage across OneDrive, SharePoint, and Exchange, with additional pooled storage per paid user subscriptions, respectively. In addition, effective February 1, 2024, users of Office 365 A1 will be limited to a maximum of 100GB of OneDrive storage within the institutional tenant’s pooled storage.

 

What's changing?

On Feb 1, 2024, Microsoft made a change to our A1 User Licensing storage allocation changing the maximum OneDrive storage to 100GB for this license type. Prior to this change, all users had a default storage limit of either 1TB or 5TB depending on their home campus. At this time this change will not affect those with a full A5 license.

What does this mean?

If you currently have an A1 license and you are using more than 100GB in your OneDrive you will not be able to upload, edit, or sync new files to OneDrive and existing files will remain read-only. You will still be able to download files, delete files and empty your recycle bin inside OneDrive. If you are currently above 90GB but less than 100GB used in your OneDrive you will receive a warning email from Microsoft letting you know you are close to reaching your storage allocation limit.

How to check if you are affected?

Do I have an A1 license?

  • Sign into portal.office.com, click on your initials in the top right corner and click on my account, then on the left-hand menu click on subscriptions then view subscriptions.

How much OneDrive storage am I using?

  • Sign into portal.office.com, from the left-hand menu or from the waffle select OneDrive. In the bottom left corner, you will see a storage bar telling you how much storage space you are using.

What can I do if I'm affected?

If you have an A1 license and are currently using more than 100GB of storage you will need to either delete some of the data to get below the threshold or you will need to move the data to another location. If you are unable to delete this data due to it's nature please work with your Departmental IT to get the data moved to a departmental SharePoint site.
